NACC Membership Agreement

Northborough Area Community Chorus 2026 Member Agreement

Our Community

The Northborough Area Community Chorus is a nonprofit community where people come together through music to connect, belong, and create something meaningful. We are committed to fostering a welcoming and inclusive environment where every member feels valued and supported.

As a member of NACC, you are part of a shared experience. We show up for one another with mutual respect, take shared responsibility for our community, and work together to support both individual growth and the success of the ensemble.

Scope of the Organization

NACC provides opportunities for members to participate in social singing, rehearsals, performances, and related musical activities.

NACC is responsible for:

• Providing a welcoming and inclusive community
• Offering structured rehearsal and performance opportunities
• Making reasonable efforts to support participation within the scope of the organization

We are committed to supporting members within the scope of a volunteer, community based organization, while also recognizing that certain needs require support beyond what we are able to provide.

NACC does not provide personal care, medical care, supervision, or one to one assistance for participants.
Volunteers and leadership may be present to help facilitate activities, but they are not responsible for supervision, safety monitoring, or personal support of individual members.

Because we care about the safety and wellbeing of every member of our community, the ability to respond safely to emergency situations is a fundamental requirement for participation.

If a participant requires assistance for safety, mobility, communication, or emergency evacuation, a responsible adult or designated support person must remain on site for the duration of all activities to provide that support.

NACC will work with members to determine whether appropriate conditions are in place to allow for safe participation.

NACC reserves the right to update or modify this agreement as needed. Members will be notified of any material changes.

Participation and Safety

Members may choose to participate in social singing, rehearsals, performances, or other chorus activities. All participation is expected to meet the safety expectations outlined in this agreement.
To help create a safe and respectful environment for everyone, members are expected to participate in a way that supports the wellbeing of the group.

Members are expected to follow safety instructions and emergency procedures as directed by venue staff or NACC leadership.

Expectations may vary across rehearsals, performances, and other chorus activities.

Rehearsals may allow for flexibility and accommodation as members learn and engage with the group. However, members must still be able to participate safely within the rehearsal setting. If a member requires assistance for mobility, navigation, or safety, a designated support person should be available as needed to ensure safe participation.

Performances require a higher level of consistency, preparedness, and safety due to staging, movement, timing, and the live nature of the event. Performance environments may include low lighting, stage movement, fixed seating, and limited access points. Members must be able to participate safely within these conditions. If assistance is required for mobility, navigation, or emergency response, a designated support person must be present and available throughout the performance.

NACC will make reasonable efforts to support participation within the scope of the organization, provided that such efforts do not compromise safety or fundamentally alter the nature of the program.

NACC may require additional support or adjustments for participation when necessary to maintain a safe environment.

Attendance and Communication

Membership includes the opportunity to participate in social singing, rehearsals, performances, and other chorus activities.
Members are encouraged to communicate their intended level of participation in advance, including whether they plan to participate in a performance.

For those participating in a performance, consistent attendance is important to ensure preparedness, safety, and ensemble success. Members are encouraged to limit absences and maintain consistent attendance throughout the concert cycle, and to communicate any anticipated absences in advance.

Participation in rehearsals does not automatically guarantee participation in performances, as performance readiness, safety, and ensemble needs must be considered.

Member Responsibilities

Members agree to:

• Communicate openly about attendance, participation, and any support needs
• Arrange any required personal support in advance as needed for participation
• Arrive on time and prepared to participate
• Follow direction from artistic and organizational leadership
• Conduct themselves in a manner that does not disrupt rehearsals, performances, or the experience of other participants
• Contribute to a respectful, inclusive, and supportive environment

Members are encouraged to support the chorus through volunteer efforts and participation in organizational activities, as they are able.

Concerns and Resolution

Our goal is always to work toward solutions that support both the individual and the ensemble.

The Artistic Director is responsible for determining participation in rehearsals, performances, and other chorus activities based on safety, preparedness, and the needs of the ensemble.

If concerns arise that affect participation, safety, or adherence to this agreement, they will first be addressed by the Artistic Director, who will work directly with the member to reach an agreement.

If that agreement cannot be reached or is not maintained, the President and Director of Operations will join the discussion to work toward resolution.

If resolution still cannot be reached, the Executive Board may meet with the member to review the situation and determine appropriate next steps. This may include establishing conditions for continued participation.

The full Board of Directors may be engaged when required for governance matters, including but not limited to budgetary decisions. The
Executive Board will keep the full Board informed of ongoing concerns as appropriate.

If concerns cannot be resolved or if participation cannot be maintained safely within the scope of the organization, membership may be modified or terminated.

Membership and Termination

Membership remains active for one year and automatically terminates upon non payment of dues.
Members may resign their membership at any time by providing written notice to NACC leadership. Notice may be sent to [email protected] or another official NACC communication channel. Resignation is effective upon notice unless otherwise specified by the member.

Membership may be reviewed or revoked for failure to meet the expectations outlined in this agreement.
If concerns progress to the point where membership status is being considered, the member will be informed and given the opportunity to participate in the discussion.

Following the resolution process outlined in this agreement, the Executive Board will determine appropriate next steps regarding membership status, which may include modification or termination of membership.

NACC Code of Ethics

NACC is committed to providing an environment that is respectful, inclusive, and free from discrimination and unlawful harassment.
We strive to create a space where all members feel safe, valued, and able to fully participate.
Actions, words, jokes, or comments based on an individual’s sex, race, ethnicity, age, religion, or any legally protected characteristic will not be tolerated. Members are encouraged to bring concerns to the immediate attention of an Executive Board Member.

Definition of Harassment

Harassment is any behavior that causes distress, a sense of lack of safety, or physical or emotional harm based on actual or perceived identity, including but not limited to race or ethnicity, religion, age, gender, gender identity or expression, socioeconomic status, disability, sexual orientation, citizenship status, geography, place of origin, marital status, or familial status.
Harassment does not require malicious intent. Impact matters, and concerns will be addressed regardless of intent.
Demeaning remarks, jokes, innuendo, or comments about any individual or identity group are considered forms of harassment.

Sickness Protocol

Singing increases the risk of transmission of respiratory illness.
To help protect the health of the group, members should not attend activities if they are unwell or experiencing symptoms such as coughing.
Rehearsals may be recorded to support members who are unable to attend.

Photo and Video Release

By participating in NACC, members grant permission for their likeness to be used in photographs, video, or other digital media for NACC publications, including web based use, without compensation.

All media captured by NACC is the property of NACC.

Members waive the right to inspect or approve finished materials and waive any right to royalties or compensation related to such use.

NACC may publish the names of active members in concert programs, digital materials, or other organizational publications. Members who do not wish to have their name included may opt out by providing written notice to NACC leadership, including via email to [email protected], in advance of publication.

Acknowledgment and Release

By selecting “I Accept” on the online membership form, I confirm that I am accepting membership in NACC and that I have read, understand, and agree to the guidelines outlined in this agreement.

I understand that participation in NACC activities is voluntary and occurs within the scope of the organization as described above.
To the extent permitted by law, I hereby release and hold harmless NACC, its leadership, and volunteers from claims arising from my participation in NACC activities.
